Most sponsors require the submission of a technical, progress, or performance report. These reports, which can be required as often as monthly or as infrequently as annually, allow the funding agency to determine the extent to which the project deliverables have been (or are being) met. Usually the reporting requirements are provided by the sponsoring agency when the award is made, and to the extent possible these reporting requirements are detailed on the award abstract when the award is established in the RF Business System. However, as Principal Investigator, it is your responsibility to be aware of the due dates of programmatic reports and to submit them in a timely manner. The format of the report will vary by funding agency, so follow the instructions provided in the grant award documentation.

National Science Foundation (NSF)

Public Health Services (PHS)

  • If you are a recipient of NIH funding, then you are required to report on scientific progress and financial expenditures. Submitting timely, accurate, and complete reports are an essential part of the stewardship of federally-supported research, and maintaining the public’s trust in science. NIH Guide notice published June 5 summarizes the required information, and due dates, for Research Performance Progress Reports (RPPRs) and Financial Expenditure (FFRs).

Failure to submit complete and accurate reports doesn’t just affect one individual – it can affect future funding to the entire organization and can result in a delay of continued support.

US Department of Education Trio Programs

  • Annual Report - due date changes (typically within 90-days of year end), via electronic system
  • Final Report - due within 90-days of expiration of grant award

New York State Education Department (NYSED)

  • Financial Report - due within 30-days of year end
  • Final Program Report - due within 60-days of award end

Sponsors take deadlines very seriously and late submissions or failure to submit the reports can jeopardize current and future funding from the agency to SUNY Buffalo State. It can also delay payment, which has a negative effect on the institution’s overall cash position.

The Sponsored Programs Operations (SPO) staff does not have to approve programmatic reports prior to submitting them to the funding agency unless they contain expenditure information. SPO Grants Management Department is responsible for preparing and submitting all financial reports and for reviewing the financial expenditure section of any programmatic reports. As SPO is the office of record, PIs must provide them with copies of all programmatic reports that are submitted to the sponsor.
